Digital Threats

Nowadays security isn’t just necessary in the physical world, but also in the digital world. Both our safety and our privacy are at risk. Cybercriminals are targeting personal data, that’s why it is important that this data is properly protected. To ensure the protection of all our users, Keynius works with strict rules regarding privacy and security.

Privacy by Design

The GDPR law forces organisations to think about the privacy and security of
software systems. Therefore Keynius has been developed with a ‘Privacy by
Design’ principle. Privacy and security have been included in the design from
the very first steps in the development phase. Due to this strong foundation,
Keynius users are protected from the digital threats of today and tomorrow.

Server Security

All server safety aspects like firewall, antivirus, spam protection etc. - are handled by Microsoft (Azure) according to their strict safety regulations. Keynius servers are located in data centres that have both a digital as well as a physical security present. The server location can be configured by the administrator. So if you prefer to store data on a server in Europe or your own country, Keynius provides the tools to do so.

Internal Security

To further prevent from a data breach, we have implemented safety measures against internal factors. Keynius employees only get access to data and systems required to perform their work, no more no less. This prevents any accidental (or intentional) data breach.

Anonymous Users

Administrators can pick and choose what data is processed. For example, a user can be registered with their employee number instead of their name. Users can also anonymously use lockers with just a PIN number or RFID tag. Also data is automatically deleted after 2 years.

Client in Control and owner

Clients of Keynius are in control and owner of their own data. They can view personal data that Keynius processes about their users. Clients can also edit or delete their personal data.

Data Communication Security

Data communication between users or other systems is always encrypted and made unreadable to prevent wiretapping. We call this end-to-end encryption. To make this data readable again, the reader requires a digital key. This digital key is only available to Keynius.

If a data breach were to happen, personal data is still protected. Data is stored with encryption wherever necessary, ensuringthat personal data is not readable even in case of a data breach. All hard drives, back-ups and personal data is stored with encryption.

Collected data

Our basic principle is that we do not collect more data than we need in order to offer our services properly. We always treat data according to the strict requirements of the GDPR. We collect data via our website, for example to have the website function properly or to enable online shopping. We also collect personal data, but only when necessary and logical for the intended purpose:

We store the collected (personal data) for as short a period as is (legally) possible. We store contact data for as long as is necessary to provide our services.

Sharing data

We share data with third parties, but only if this necessary for business operations or legally required. This third party can be an accountant, tax specialist, bank or website provider. In the event that we have to share data with third parties, we will ensure that these parties handle the (personal) data with the same care we do.

Deletion of data

Would you like to access the data we have stored about you or would you like to have all your (personal) data deleted from our systems? You can e-mail us at info@keynius.eu. We will contact you as quickly as possible, but within 3 working days at the latest.
